Rules & Regulations
1. Booking and Reservations:
1.1. All bookings must be made in advance through the BMC Conference Rooms booking system. Walk-in bookings are subject to availability.
1.2. A valid booking receipt and confirmation email must be presented before using the conference room.
1.3. The minimum booking duration is 1 hour. Additional time can be booked, subject to availability..
1.4. If a user does not arrive within 15 minutes of the scheduled booking time, the conference room will be made available to other users, and no refund will be provided.
1.5. I Cancellations made 48 hours in advance are eligible for a full refund. Cancellations made within 48 hours will incur a cancellation fee.
2. Usage Guidelines:
2.1. BMC Conference Rooms are intended for corporate meetings, seminars, training sessions, and educational events. Any commercial use (e.g., paid events or sales meetings) requires prior approval from the management.
2.2. All equipment (e.g., projectors, microphones, AV systems) should be handled with care. Any damage to the facilities or equipment will incur additional charges.
2.3. Users are responsible for keeping the conference room clean and tidy. All waste should be disposed of in the appropriate bins.
2.4. Outside food and drinks are not allowed in the conference rooms unless pre-approved for special events.
3. Safety Regulations:
3.1. Users are responsible for their personal belongings. BMC Conference Rooms is not liable for any loss, damage, or theft of personal property during the use of the facility.
3.2. In case of an emergency, users must follow the emergency exit instructions and evacuate the premises in an orderly manner.
3.3. Smoking, alcohol, illegal substances, and weapons are strictly prohibited within the conference rooms.
4. Code of Conduct:
4.1. Users must maintain professional conduct at all times during their use of the conference rooms. Disruptive behavior will result in immediate expulsion from the premises.
4.2. Unauthorized photography or videography is not allowed inside the conference rooms unless pre-approved by the management.
4.3. Ensure noise levels are kept at a minimum to avoid disturbing other users in adjacent rooms or facilities.
4.4. Appropriate professional attire is required for all users. Inappropriate clothing will not be allowed.
5. Grievances and Complaints:
5.1. Any complaints or issues regarding the facilities or services should be immediately reported to the BMC Conference Room Manager.
5.2. If a complaint remains unresolved, it may be escalated to the Facility Officer or Chief Administrative Officer for further action.
6. Amendments:
6.1. BMC Conference Rooms reserves the right to amend these Rules and Regulations at any time. Changes will be communicated via email or posted notices within the facility.
